Definitions
- ‘Member’ - Person signing the membership agreement.
- ‘WLC’ - Willoughby Leisure Centre.
- ‘WCC’ - Willoughby City Council.
- ‘Centre’ - Willoughby Leisure Centre.
- ‘Membership’ - Agreement between the member and Willoughby Leisure Centre.
- ‘Direct debit’ - An agreed upon financial amount deducted from the members nominated account.
- ‘Days’ - Calendar days inclusive of weekends and public holidays.
- ‘Customer portal’ - An online accessible portal that users can access to alter their personal details and make a booking.
Legally binding agreement
The membership agreement between you and Willoughby Leisure Centre comprises the following membership terms and conditions.
It is important that you have read and understood all of the terms and conditions of the agreement before you ‘agree’ to these terms. If you have any questions, please ask.
On acceptance of your membership, members acknowledge that they will be bound by the terms and conditions of the membership set out and referred to in this document.
Conditions of entry
By purchasing a membership, you agree to adhere to all Willoughby Leisure Centre conditions of entry.
The current terms and conditions can be viewed online at www.willoughbyleisure.com.au or in person at Willoughby Leisure Centre.
By entering Willoughby Leisure Centre, you agree to the conditions of entry and all health and safety requirements. Failure to comply with these conditions of entry may result in the individual or group being refused entry to the Centre or being asked to leave immediately.
1. Membership general conditions
Memberships can be paid upfront or through a fortnightly direct debit. All upfront memberships must be paid for at the time of purchase.
1.1 All members are required to complete a pre-exercise questionnaire as part of their online membership agreement. It is the responsibility of the participant to advise staff of any serious or pre-existing injuries or medical conditions before exercising.
1.2 All members are required to have a photo taken for identity purposes.
1.3 Membership is personal to the member and the membership cannot be assigned or transferred to another person unless authorised by WLC.
1.4 To access concessions rates, you will be required to submit proof for validation on your first visit to the Centre.
1.5 The type of membership you purchase will determine the areas and programs that you can access within the Centre.
1.6 Management of Willoughby Leisure Centre reserves the right to reject an application for membership to the Centre.
1.7 All memberships commence on the date stated on the membership agreement.
1.8 A member must always present proof of membership for admittance to the Centre.
1.9 Admittance may be refused if a member fails to provide proof of membership and proof of identification on request.
1.10 Management of Willoughby Leisure Centre reserves the right to:
1.10.1 Vary, add, or eliminate any of the facilities or services provided by the Centre.
1.10.2 Change the fees we charge for our services.
1.10.3 Alter membership terms and conditions.
1.10.4 Vary our hours of operation or program schedule.
2. Concession membership conditions
2.1 You may receive a concession on certain goods and services if you are a:
- Full-time student enrolled in an Australian tertiary qualification or
- Pensioner or
- Seniors cardholder.
2.2 You are required to show us proof that you qualify for a concession at the time of purchase (except for online purchases) and at any time requested by Centre staff. Failure to provide valid proof of concession will result in denial of entry at the discounted concession rate and full entry fees will apply.
3. Family memberships conditions
3.1 Family memberships include 2 adults and up to 3 children under 18yrs.
3.2 Family memberships may include more than 3 children. Each additional child above 3 will incur an additional fee.
3.3 Family memberships may include children over 17yrs. Each child over 17yr will incur an additional fee.
3.4 All children covered in the membership must be living at the same residential address.
4. Membership freeze
4.1 Members may request a freeze of their active membership by submitting the online form at least two (2) business days prior to the intended freeze start date.
4.2 Freeze requests will incur a fee as outlined in the Willoughby Leisure Centre’s fees and charges schedule.
4.3 Members may freeze their membership for a maximum of 12 weeks per calendar year. This limit resets on the membership anniversary date each year.
4.4 All membership freezes must be for a minimum duration of seven (7) consecutive days and cannot be backdated under any circumstances.
4.5 Freeze requests will not be processed if there are outstanding fees on the member’s account.
4.6 For family memberships, a freeze request will apply to all members included in the family membership.
5. Freeze fee
5.1 Direct debit memberships: Freeze fees are charged on your fortnightly direct debit schedule in lieu of regular membership fees.
5.2 Upfront memberships: Freeze fees are charged upfront at the time of freeze request and are to be paid via the online customer portal or in person at the Centre during your next visit.
6. Membership cancellation
6.1 Willoughby Leisure Centre management reserves the right to cancel any membership agreement at its discretion.
6.2 Members may cancel their membership after completing the minimum term specified in their contract by submitting a written request. This can be done by:
- Completing the online Membership Cancellation Form, or
- Emailing membership@willoughby.nsw.gov.au.
6.3 A minimum of 14 days’ notice is required. During this notice period, a final pro-rata membership payment will be processed.
6.4 Members who have purchased an upfront membership are not eligible for cancellation or refunds. These memberships are non-refundable.
6.5 Cancellation requests will not be processed if there are outstanding fees on the member’s account. All dues must be settled prior to cancellation.
6.6 Memberships will remain active until the cancellation date occurs. Your membership will expire 14 days from the date of confirmed receipt of your cancellation form, unless otherwise advised.
6.7 If you do not receive written confirmation within 3 business days of submission, please assume your request has not been received and follow up accordingly.
7. Car parking
7.1 Free parking is included for members while using the Centre, subject to availability.
8. Communications and privacy
8.1 If you wish to notify us about anything relating to this agreement, our primary communication method is email.
8.2 It is important to keep your contact details up to date and this can be done via the online customer portal.
8.3 We will notify you of any changes via email to your nominated email address.
8.4 Any notice will be deemed to have been received on the third business day after notification.
8.5 We do not accept responsibility for contact details which are not updated.
8.6 Members will not be reimbursed for any miscommunication because of incorrect information.
8.7 We will provide 14 days’ notice on all changes to membership conditions.
8.8 We will provide 28 days’ notice on all changes to membership fees.
8.9 Members acknowledge that they may receive communications and marketing materials from Willoughby Leisure Centre.
8.10 Willoughby City Council manages your information in line with our privacy policy.
8.11 By providing personal information to us, you agree to our use of your details in accordance with our privacy statement, privacy management plan, general conditions of entry, and any terms and conditions provided when purchasing a good or service from Willoughby Leisure Centre.
8.12 We provide access to goods and services online, including class and facility bookings, program enrolments, Centre memberships and Centre entry passes.
8.13 By accessing our online services, you agree to Willoughby City Council’s website disclaimer and copyright, and privacy statement.
9. Release and indemnity
9.1 The member declares and acknowledges:
9.1.1 They are medically and physically able to participate in the programs and accept the inherent risks of undertaking such physical activity.
9.1.2 They enter the Centre and surrounds and/or participate in programs, utilise the equipment, and/or take advantage of the services offered at their own risk.
9.1.3 The Willoughby City Council is released and discharged from all liability for loss, damage or injury that they may sustain; and
9.1.4 They indemnify Willoughby City Council to the extent permitted by law in respect of any claim by any person as a result of or in connection with the membership and/or participation in any of the activities connected to the Willoughby Leisure Centre.
9.2 This release and indemnity shall not apply to the extent that loss, damage or injury which is the subject of the claim is caused or contributed.

1. General
a. All patrons must adhere to the Willoughby Leisure Centre's conditions of entry at all times.
b. Entry is permitted only during advertised operating hours.
c. Patrons must follow all signage and staff instructions.
d. Appropriate attire, including footwear, must be worn at all times.
e. Smoking, alcohol and illegal substances are strictly prohibited within the Centre.
f. Food and drink are permitted only in designated areas.
g. Animals are not permitted, except for registered assistance animals.
2. Gym
a. Patrons must be 16 years or older to access the gym unless participating in a supervised program.
b. Patrons aged 14 and 15 years must be supervised by someone over the age of 16 years to use the gym.
c. A towel must be used on all equipment.
d. Equipment must be wiped down after use.
e. Personal belongings should be stored in lockers provided.
f. No bags are permitted on the gym floor.
3. Group fitness classes
a. Bookings are essential for all group fitness classes.
b. Entry to classes is not permitted after the warm-up has concluded.
c. Appropriate footwear and attire must be worn.
d. Participants must inform instructors of any injuries or medical conditions prior to class.
e. Patrons aged 14 and 15 years must be supervised by someone over the age of 16 years to attend a group fitness class.
4. Aquatics
a. Children under 10 years must be actively supervised by a person 16 years or older.
b. Children under 5 years must be within arm's reach of a supervising adult at all times.
c. Swimwear must be appropriate and hygienic.
d. Running, diving and rough play are prohibited.
e. All patrons must shower before entering the pool.
5. Photography and filming
a. Photography and filming are not permitted without prior written consent from Centre management.
b. Mobile phone use must be respectful of others' privacy.
6. Behaviour and conduct
a. Aggressive, abusive or disruptive behaviour will not be tolerated.
b. Patrons must treat staff and other users with respect.
c. Offensive language and gestures are prohibited.
7. Safety and emergency procedures
a. Patrons must familiarise themselves with emergency exits and procedures.
b. In the event of an emergency, follow staff instructions immediately.
c. Report any hazards, injuries, or incidents to staff promptly.
8. Management rights
a. Management reserves the right to refuse entry or request patrons to leave the premises.
b. Management may alter operating hours, programs or services at their discretion.
c. Conditions of entry may be updated at any time. Patrons will be notified via signage or digital communication.
9. Privacy and communication
a. Personal information is managed in accordance with Willoughby City Council's Privacy Policy.
b. By entering the Centre, patrons agree to receive communications related to safety, operations and services.
